Terms for using SYS Senju
These terms apply to organisations that use SYS Senju, a service of SYS Systems (Smile You're Secured Systems), Ghana, and to the people who use it on their behalf. Where an organisation has signed an agreement or order form with SYS Systems, that agreement takes precedence over these terms.
Workspaces and accounts
- Workspaces are opened by SYS Systems after reviewing a request. The organisation's administrators manage its users, roles and devices and are responsible for activity in the workspace.
- Keep sign-in details, badges and PINs private and tell your administrator at once if a device is lost or an account may be misused.
- Integration keys for edge devices and gateways must be stored securely and revoked if a device is lost.
Trials, plans and payment
- A new workspace may start with a free trial. When a trial ends without an active plan, the workspace becomes read-only: records stay available to view and export, and nothing is deleted.
- Paid plans are billed in advance through Paystack for the period shown on the Billing page and renew automatically until cancelled. Plan limits on users and cameras apply.
- If a renewal payment fails, the workspace stays available while payment is retried. If an account remains unpaid, SYS Systems may make the workspace read-only until it is settled.
Responsible use
- Each organisation is responsible for using cameras and worker records lawfully at its sites, including informing workers and visitors, displaying CCTV signage in monitored areas and having a lawful basis for monitoring.
- Do not use SYS Senju for facial recognition, covert surveillance of individuals, automated discipline or any unlawful purpose, and do not attempt to access another organisation's data or disrupt the service.
- Upload only content you have the right to use. Do not store payment card numbers or other highly sensitive data in free-text fields.
Safety and security alerts
SYS Senju helps people notice and follow up on warehouse, safety and security events. Camera analytics and alerts can miss events or report false ones, and depend on cameras, power, connectivity and site configuration. They support, and do not replace, an organisation's safety procedures, supervision, guarding and legal duties.
Your data
Each organisation owns the data in its workspace and can export it. SYS Systems uses that data only to provide, secure and support the service, as described in the privacy notice. After a subscription ends, the organisation can ask for an export before the workspace is closed and its data deleted.
Availability and changes
We work to keep SYS Senju available and secure, and the app keeps warehouse work saved on devices during connection loss. Planned maintenance and outages beyond our control can occur. Service levels, where agreed, are set out in the organisation's agreement. We may improve or change features; we will give reasonable notice of changes that materially reduce what a paid plan includes.
Liability
To the extent the law allows, SYS Systems is not liable for indirect or consequential losses, and its total liability in any twelve months is limited to the fees the organisation paid for SYS Senju in that period. Nothing in these terms limits liability that cannot be limited by law.
Ending the service
An organisation can cancel its subscription at any time from the Billing page; access continues to the end of the paid period. SYS Systems may suspend a workspace that is used unlawfully, threatens the security of the service or remains unpaid.
